Agreement

We are looking forward to welcoming you. Here you will find our booking terms & conditions, please read them carefully. The purchase of a travel/tour with us constitutes a contractual agreement between Nordic Travel House and the traveler/customer and by the time of making a reservation you pledge that you are authorized to accept and do accept, on behalf of all passengers, the terms and conditions. We reserve the right to change the information at any time. These terms shall become effective once posted on the Website and will not have any retrospective effect on existing contractual arrangements. No contract between the customer and Nordic Travel House will come into existence until Nordic Travel House receives the required deposit payment and issues a confirmation invoice.

Reservations

Once we receive the deposit, the reservation will be confirmed and followed by an email from Nordic Travel House. This message will contain your booking reference, detailed travel/tour information, schedule, payment, company contact and general terms & conditions. All bookings, changes, alterations, and cancellations must be made in writing. All rates are quoted in Euro (EUR) per person and include taxes. Nordic Travel House guarantees that there will be no changes in the prices of confirmed tours. A detailed list of all services included in the tour price will be specified under each tour. Any extra expenses incurred by the client during the tour must be paid directly by the client to the hotel or other provider of such services, prior to departure.

Flight reservations are directly made, selected, and reserved by the traveler and s/he is responsible for selecting appropriate, correct and required timings / schedule or other information. However, assistance is provided where there is an inappropriate or short time interval selected by the traveler or where the traveler required any changes in the selected reservation considering if it is permitted in the terms and conditions.

Special Requests

Rooms: Requests for room types will be, at the best honored, and based on the availability at the respective hotels (double /twin). Twin/double rooms bookings are accepted based on the mutual acceptance of both parties. In the event that a guest in double room should decide to cancel, the remaining guest shall be charged a single supplement for the duration of the tour. This is also applicable for cabins on trains and cruises.

Triple room accommodation is subject to availability at the time of booking. Often the triple room is a double room in which the hotel will add a 2nd or 3rd bed (roll-out) or a sofa at the expense of comfort and space, especially for the 3rd adult. Guests wishing to book a triple room, despite these reservations, cannot claim discount or compensation, if not satisfied. Nordic Travel House reserves the right to change the hotels and programs as long as the service is of same level or higher as what was quoted to the client. The client is not entitled to any compensation in this respect.

Booking changes: All booking change requests must be made via email by the person who submitted the original booking request. All changes are subject to availability. Please note that certain services may not be changed or transferred after they have been confirmed, and any alteration may incur a cancellation charge of up to 100% of that part of the services. Once a change is requested by the traveler, any previous/existing reservation and fares are dissolved to make changes and therefore, if a traveler chooses to retreat, it is not possible to offer the same previous fare again, or older/previous reservation or seats on previously given/reserved date. Hence in that case, any fare difference, charges, or penalty will apply accordingly to return to reservation on original data. In cases where the difference is not paid or agreed by the traveler; yet the change has been ordered, the reservation will be treated as cancelation by traveler

Tailor made: If you do not see just what you are looking for, we offer tailored tours by demand. Contact us through our contact form and we will be happy to create a personalized itinerary to suit your own interests and budget. Please note that tailor made itineraries require time to develop, and therefore, for this we ask for a 50€ (*372dkk) non-refundable design fee.

Cancellations

If for any reason you have to cancel your booking you must give us a written notice of cancellation signed by the person who originally made the booking or is traveling or both.

The date of the cancellation shall be when Nordic Travel House receives it in writing during our office hours (Monday-Friday 09:00 – 17:00 hrs. CET). Cancellation fees:

–              30-21 days before arrival: 25 %

–              20-15 days before arrival: 50 %

–              14 days or less before arrival or no show: 100 %

*The cancellation charge is a percentage of the total booking price.

Validity of prices

In the unlikely event of an administrative error resulting in an incorrect price being displayed, we reserve the right to correct the price. In these circumstances, you will not be bound to continue with your purchase, cancellation may not be charged, no contract will apply, and you will be asked to email us to confirm the action.

​All rates are net and include taxes, duties and all other fees, costs, and extras in effect of today (date of the offer). Furthermore, all rates are based on exchange rates in effect of the date of the offer. Any eventual changes in rates will not be made with less than 20 days´ notice prior to arrival.

Prices are guaranteed against any surcharge after an invoice has been issued unless the increase is due to currency changes and the amounts are up to 5% of the package price or more. The clients will be entitled to cancel their booking with a full refund if the surcharge exceeds 10%. Any increase due to changes in government laws, i.e., tax changes, will be added to the invoice.

Payments

Nordic Travel House requires that full payment should be made no later than 35 days before arrival of guest(s). Please note we do not send reminders. If the balance is not paid by said date, we reserve the right to cancel your reservation, retain your deposit, and apply the cancellation charges. For bookings that include flights/non-refundable services, payment should be made no later than 3 days after receiving the invoice. This amount may be a non-refundable deposit. There will be no contract between the seller and the buyer until the card is charged or payment is made. In cases where wrong card / payment information is provided or card declined or third-party card forgery/fraud is suspected, no contract will apply.

Refunds and deposits

Travel arrangements cancelled or amended within 24 hours of your departure or once travel has commenced will not qualify for any refunds, nor can services be substituted for alternative arrangements. Unused services are non-refundable.

In cases where full payment is not made at the time of purchase a 20% deposit or xxx € per person, is required within X days (unless otherwise stated) of us accepting your booking.

Please note that some tickets are non-refundable, while certain types of airlines cannot be changed after a reservation has been made and any alteration request will incur a 100% cancellation charge. Tickets returned will be submitted to the respective airline, or their agent, for assessment. Payment administration fee is not refundable.

Deals and special prices

Our general terms & conditions also apply to deals and special prices tours.

The booking of this packages is not commissionable for third-party agents and the offer is not valid in combination with any other discounts or promotions.

Financial security

Nordic Travel House operates in compliance with the EU Package Travel Directive. All payments towards services that fall under this EU law are safeguarded with an insurance protection that guarantees you a refund in the unlikely event of insolvency.

Travel requirements and documentation

  • Individuals under the age of 18 on a Nordic Travel House tour must be accompanied by an adult.
  • Passengers must be in possession of valid documentation, full passport and/or visas if needed. We can advise generally on Visa and Health requirements, but travel requirements are under the traveler responsibility to ensure that you satisfy all applicable requirements in respect of passport, visa and health matters and must be confirm with the relevant embassies or consulates. These requirements do change, and you should check the latest information. Many countries require that your passport be valid for at least 6 months after your departure date from that country OR that it should have at least 2 blank pages for stamp. Please always inquire Visa/Transit or Passport policy with the relevant consulate or embassy as the agency is not responsible or liable for valid travel documents / visas etc. Also, please contact your local doctor who can provide immunization requirements for countries where vaccination card is required along with travel documents to board. Advice can also be obtained from DoH leaflet “Advice on Health for Travelers “. We cannot be held liable if you fail to ensure this, and if as a result, we suffer any loss or expense because of such a failure on your part, you will be obliged to reimburse us. In addition, it is your responsibility to ensure that you do not behave in any way which causes offence or which risks causing offence or danger to other holidaymakers or which risks damaging property belonging to others. Hotel managers and pilots do have legal powers to remove unruly holidaymakers from their hotel and/or aircraft. Should this happen, we cannot be held liable in any way to you, and you will be obliged to meet the cost of purchasing replacement hotel accommodation and/or air tickets.
  • Please note that individual travel insurance is not included in the tour price, and the client pays all medical cost and other cost involved. We strongly recommend that you purchase comprehensive travel insurance when making your reservation.

Liability

Nordic travel house disclaims responsibility for any loss, damage, accidents, sickness or schedule changes caused by weather or road conditions, force majeure such as natural catastrophes, strikes or any other irregularities beyond the control of Nordic Travel House. We reserve the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. Luggage is at owner’s risk throughout the tour.

Nordic Travel House is not liable for Accommodation/hotel or Airline “s services, policy, operations or standards. For matters concerning flight services. Airlines are directly responsible/accountable and should be contacted directly for immediate problem solving.

Compensation claims should only cover the contractual elements of the reservations. No subjective nature of assessment will be considered. The purchaser may notify of a complaint for poor or non-execution of service as soon as possible including necessary documentation and in writing no later than 30 days after their respective return. We advise our clients to notify us of problems on site so that the difficulties can be resolved during the traveler’s trip, failure to do so may result in repudiation of compensation.

Image release

When on tour, we may take photographs or make recordings of you and your activities that identify you. We reserve the right to use any images and/or recordings for promotional and marketing purposes. You consent to this use and acknowledge you will not be entitled to any payment or other compensation. If you do not consent to the use of your image or likeness, please advise us by the tour start.
